How Do NDIS Claims and Reimbursements Work?

Let’s talk about something that comes up a lot with the NDIS: how the money side actually works. We often get questions like:

  • “How do I claim something through my plan?”
  • “If I’ve already paid for something, can I get that money back?”

They’re great questions and the answers can depend on how your plan is managed. So whether you’re NDIA-managed, plan-managed, or self-managed, here’s how NDIS claims and reimbursements work.

 

What Can You Claim Through the NDIS?

NDIS funding can be used for reasonable and necessary supports. These are the things that help you work towards your goals, build independence, and participate in daily life.

Common claimable supports include:

  • Support workers and therapy services
  • Assistive technology (e.g., wheelchairs, hearing aids, apps)
  • Daily living aids and consumables
  • Transport support
  • Home modifications
  • Community access activities
  • Short Term Accommodation (respite)

You can only claim what’s been approved in your current NDIS plan under the correct budget category (Core, Capital, or Capacity Building).

 

The 3 Ways NDIS Funds Are Managed and Why They Matter

Your NDIS plan management type determines how you claim or get reimbursed:

1. NDIA-managed (Agency-managed)

The NDIA pays providers directly. You can’t get reimbursed for things you paid out of pocket. NDIS providers must invoice the NDIS through the portal.

  • Use only NDIS-registered providers
  • No out-of-pocket payments
  • No reimbursements to participants

2. Plan-managed

You choose NDIS providers (registered or not), and your Plan Manager handles invoices and reimbursements. If you pay for something upfront, your Plan Manager can submit the claim and reimburse you.

3. Self-managed

You’re in control of everything: choosing providers, paying invoices, and making claims through the NDIS portal. You can claim reimbursements for eligible items you paid for.

 

How to Get Reimbursed Under the NDIS

If you’re self-managed or plan-managed, and you’ve paid for an eligible support, here’s how the reimbursement process typically works:

Step 1: Keep Your Receipt

  • You’ll need an itemised tax invoice or receipt showing:
  • Date of purchase
  • NDIS provider name and ABN
  • Description of support
  • Amount paid
  • Your name

Step 2: Check It’s in Your Plan

Make sure the item or service fits within your approved funding categories (e.g., Core, Capacity Building) and is considered reasonable and necessary.

Step 3: Submit Your Claim

  • Self-managed: Log in to the myGov NDIS portal, go to “Payment Requests”, and enter your claim.
  • Plan-managed: Email your Plan Manager with your receipt and claim details. They’ll handle the rest.

Step 4: Get Reimbursed

  • If self-managed, the funds will be transferred into your nominated bank account (usually within a few business days).
  • If plan-managed, your Plan Manager will reimburse you directly after claiming from the NDIS.

 

Can I Use NDIS Funding for Things Like Uber, Woolies, or Tech?

It depends. Some mainstream services (like transport, groceries, or devices) can be claimed, but only if they clearly relate to your goals and are justified in your plan.

  • Transport costs — often claimable under Core Supports if listed in your plan
  • Woolworths or Coles — certain disability-related consumables like incontinence products
  • Tech (e.g., iPads) — sometimes claimable under Capacity Building for communication, therapy, or education (must be justified)

Always keep clear evidence linking the purchase to your NDIS plan goals like a letter from a therapist or support coordinator.

 

What if My NDIS Claim Is Rejected?

Don’t panic! If a claim is denied:

  • Double-check your plan to confirm it’s a funded support
  • Make sure the receipt meets all requirements
  • Ask your Support Coordinator or Plan Manager for help
  • If needed, you can request a review of the decision

Most of the time it’s just a small admin issue that can be quickly fixed.
